These Terms of Use (“Terms”) govern your access to and use of the Reflect website, application, and related services (collectively, the “Service”). By creating an account or using Reflect, you agree to these Terms. If you do not agree, do not use the Service.

2. What Reflect Is (and Is Not)

Reflect is a private digital tool designed to help managers prepare for, document, and reflect on one-on-one conversations and performance-related interactions.

Reflect is:
  • A productivity and reflection tool.
  • Intended for professional development and communication preparation

Users are responsible for how they use the Service and any employment decisions made based on their own notes or reflections.

3. Eligibility

You must:

  • Be at least 18 years old
  • Use the Service in compliance with applicable laws
  • Have authority to use the Service for professional purposes
  • You may not use Reflect if your use would violate any laws, regulations, or contractual obligations.

4. Account Registration

To use Reflect, you must create an account.

You agree to:

  • Provide accurate information
  • Maintain the confidentiality of your login credentials
  • Notify us of unauthorized access
  • You are responsible for all activity under your account.

5. Subscription & Billing

Certain features of Reflect require a paid subscription.

Subscriptions are billed on a recurring basis (monthly or annually, as selected at checkout) and are processed securely by Stripe, Inc.

By subscribing, you agree that:

  • Your subscription will automatically renew at the end of each billing period unless canceled.
  • Stripe will charge your selected payment method at each renewal.
  • You may cancel at any time through your account settings or by contacting support.
  • Cancellation prevents future charges but does not retroactively refund prior payments unless required by law.
  • We do not store full payment card numbers on our servers.

6. User Content

“User Content” includes any notes, observations, meeting prep entries, reflections, titles, or other information you enter into Reflect.

You retain ownership of your User Content.

By using Reflect, you grant us a limited license to:

  • Store
  • Process
  • Transmit
  • Display
  • We do not store full payment card numbers on our servers.

your User Content solely for the purpose of operating and improving the Service.

We do not claim ownership of your content.

7. Acceptable Use

You agree not to:

  • Upload unlawful, defamatory, or discriminatory content
  • Store sensitive personal data beyond what is necessary for professional reflection
  • Upload protected health information (PHI)
  • Use Reflect to harass, discriminate against, or retaliate against others
  • Attempt to reverse engineer or disrupt the Service
  • Important: Sensitive Data

Reflect is not designed for:

  • HIPAA-regulated health information
  • Highly sensitive government-regulated data
  • Classified information

You are responsible for ensuring your use complies with applicable privacy and employment laws.

8. Use Limitations & Employment Data

Reflect is designed as a personal reflection and preparation tool for managers. It is not intended to serve as a system of record for:

  • Compensation determinations
  • Formal performance ratings
  • Disciplinary actions
  • Promotion documentation
  • Legal employment records
  • Official HR documentation

While users may enter free-form notes, Reflect does not provide structured workflows or compliance safeguards for formal employment documentation.

You are solely responsible for:

  • Ensuring that your use of the Service complies with applicable employment laws
  • Following your organization’s HR policies
  • Determining whether certain categories of employment data should be stored in Reflect

Reflect does not review, monitor, or validate the legality or appropriateness of user-entered content.

If you require a compliant HR information system, you should use a dedicated HR platform.

9. AI-Generated Content

Reflect may use artificial intelligence to:

  • Summarize reflections
  • Identify themes or patterns
  • Provide structured insights

AI outputs:

  • May contain errors
  • Should not be relied upon as factual determinations
  • Are suggestions, not decisions

You remain solely responsible for employment decisions and communications.
